David Kordansky Gallery seeks a highly motivated, extremely organized, and collaborative individual to join our team as Artist Liaison Assistant. Reporting to the Director, Artist Relations, the Artist Liaison Assistant is a critical, cross-departmental role, responsible for supporting a range of significant administrative functions of the Artist Relations department. Day-to-day responsibilities include facilitating communication between artists, their studios, and the gallery, project-management, and administrative assistance from coordinating visits, travel, and appointments to sourcing materials and gifts. This position is a full-time role, Monday through Friday, and will require occasional flexibility for additional hours based on the needs of the gallery. A generous benefits package is offered.

PRIMARY RESPONSIBILITIES:

Assist the Artist Liaison department with administrative needs, including scheduling, research, data entry, gifts, and errands

Assist with project-coordination for gallery exhibitions, art fair presentations, institutional exhibitions and public projects, creating production timelines and tracking progress

Assist with managing cross-departmental and external communications regarding artist activities, recording and distributing meeting notes, as needed

Help track artists’ schedules including group and solo exhibition openings; coordinating travel/accommodations, meetings, studio visits and regularly updating all required parties

Proofread and copy edit, as needed

Assist with grant and residency applications, review project proposals and exhibition materials from institutions and other galleries

Review and execute loan, consignment, acquisition, and donation paperwork, sending documents and images to the relevant parties

Process new incoming artworks for sales purposes; confirm caption information for works; assist in compiling comparable work lists for pricing

Book travel, schedule appointments, and secure reservations for the Director, Artist Relations team and artists as requested

Coordinate and schedule studio visits for clients, curators, academics, and press

Respond to video screening and image use requests from external parties

QUALIFICATIONS:

Our ideal candidate is highly detail-oriented and creative with exceptional organizational skills; an excellent verbal and written communicator; and possesses the ability to work successfully in a fast-paced, deadline-driven environment. We seek candidates who are extremely self-motivated, responsible, and efficient, and who hold a sincere appreciation for and experience with navigating diverse cultural spaces. In addition:

Knowledge of contemporary art required

Minimum two (2) years experience working at a contemporary art gallery, related institution, and/or with artists in a project-management and production capacity strongly preferred

BA in Art History or related field preferred

Strong knowledge and understanding of the gallery’s artist roster

Familiarity with various artwork media and production processes

Demonstrated professional experience with project-management

Demonstrated ability to work independently and as part of a team

Skills in a Mac-based environment required, including: Google Suite (Gmail, Calendar, Sheets) and Microsoft Office Suite (Word, Excel, PowerPoint)

Skills in the Adobe Creative Suite (Acrobat) preferred

Basic knowledge of databases such as Artlogic (or similar) preferred

Valid California driver’s license and access to a vehicle for local errands welcomed

Fluency in multiple languages welcomed

Preference is given to candidates with expert knowledge of global contemporary art, including art of the African Diaspora, Latin America, and Asia

COMPENSATION & BENEFITS:

This is a full-time hourly position (overtime eligible) at 40 hours per week

The pay scale for this position is $25 – $32 per hour
